About the Job:

  • Provide day-to-day support to the Line Manager and department, including managing schedules, coordinating meetings, preparing agendas, and ensuring timely follow-up on action items. 
  • Prepare, review, and process official correspondence, reports, presentations, and documentation with accuracy, consistency, and adherence to company standards. 
  • Maintain organized electronic and physical records, ensuring proper classification, retrieval, accessibility, confidentiality, and compliance with departmental SOPs.
  • Coordinate with internal departments and external stakeholders to support communication needs, information exchange, and completion of assigned tasks. 
  • Track departmental workflows, submissions, approvals, deadlines, and requirements, highlighting pending or overdue items and escalating risks where necessary. 
  • Support procurement-related activities such as preparing job requests, purchase requisitions, and follow ups with the Procurement and Contracts teams for timely approvals. 
  • Assist in monitoring and processing payment certifications, vendor invoices, variations, accruals, and related financial documentation in coordination with the Finance team.
  • Organize department-level events, workshops, meetings, travel arrangements, and logistics, ensuring smooth planning and execution. 
  • Provide administrative support to enhance operational efficiency, including data entry, database updates, filing, reporting, and maintaining department trackers. 
  • Ensure compliance with company policies, governance requirements, and quality standards across all administrative and documentation processes. 
  • Identify opportunities to improve office systems, streamline processes, and enhance accuracy, productivity, and overall service delivery. Maintain professional and courteous communication across all levels, acting as a reliable point of contact for internal and external stakeholders.


About You:

  • Bachelor’s degree in business administration or relevant field. 
  • Additional certification in document management or records management preferred
  • Min. 4-8+ years’ experience in document control and using an electronic document control system.
  • Well-versed with various digital file formats and relevant software applications such as Electronic document control system and/or SharePoint 
  • Ability to read and interpret CAD drawings and technical documentation for classification, tracking, and control purposes, without involvement in design preparation or modification. 
  • Proficiency in Ms. office suite (Word, Excel, PowerPoint) 
  • Excellent communication and collaborative skills with the ability to interact with cross-functional teams, stakeholders, and document owners 
  • Highly organized and process-oriented and Time Management skills 
  • Ability to identify and resolve document-related issues 
  • Attention to detail to ensure accuracy, consistency, and compliance.
