Senior Officer - Leasing Support - DHAMRETDR: Dubai Retail - Dubai Holding Asset Management

About the Job:
An opportunity has arisen for a Senior Officer - Leasing Support to join DHAMRETDR Dubai Retail - Dubai Holding Asset. The main duties and responsibilities of this role include:
The role holder is responsible for assisting and supporting the leasing team in the achievement of the retail leasing plan and strategy by supporting the retail leasing process through renewals, new leases and amendments, coordinating with stakeholders. The role holder supports the leasing activities through effective coordination to achieve target revenue and tenancy mix relevant to each retail asset.
- Coordinate and collect information from all stakeholders for the preparation of budgets.
- Collect and provide information on vacant units, timelines, potential terminations, non-renewals etc.
- Coordinate with the collections team for collection of rents, deposits and leasing fees to ensure payments are made accurately on time.
- Perform general administrative duties such as ensuring documents are signed in a timely fashion, setting up new files, preparing routine correspondence, etc.
- Coordinate and follow-up on approvals from various departments.
- Coordinate with the Legal department for preparation of tenancy contracts, templates and forms as required.
- Track lease contracts and produce the supporting documentation for new leases and lease renewals, compile lease summaries and liaise with clients.
- Support in generating new leads and qualified leads.
- Maintain client physical and database lease files to ensure that the lease files contain accurate and up-to-date records.
- Coordinate with AXS to ensure that the database and filing system maintained by them for leasing administration is kept updated at all times.
- Record information in the lease document management system and keep it up to date with all new leasing deals.
- Coordinate to receive inputs from various stakeholders and assist in preparing timely reports for Senior Management review and analysis.
- Maintain accurate sales force data / inventory.
- Create tenant profiles and accurate databases for each tenant category so as to facilitate information retrieval and ensure a proper follow-up.
- Proactively develop and manage the relationship with the client to ensure service delivery expectations are exceeded.
- Prepare regular reports within specified time frames, detailing property status and performance.
- Support the Head/ Senior Managers /Managers/ Assistant managers in any follow-ups and negotiations.
- Make follow-up calls to Tenant who have not reverted to renewal reminder notification.
- Support any payment schedule or final settlement preparation for approval by management.
- Handle and maintain all letter correspondence with tenants w.r.t to leasing.
- Coordinate monthly asset performance reports and performance indicators
- Organize the site visits between managers and prospective tenants in order to promote DHAM retail projects.
- Ensure constant coordination between tenants and related departments (retail design & delivery, specialty leasing admin, facility management) to ensure excellent customer service.
About You:
The ideal candidate for this position will have the following experience and qualifications:
- Bachelor’s Degree in Business Administration / Marketing or any related field
- Minimum 2-3 years’ experience in relevant field.
- Strong retail background and good understanding of the local industry
- Familiarity with Yardi and Salesforce platforms.
- Knowledge of RERA regulations / rules.
- Good analytical skills.
- Thorough knowledge of retail market / trends / intelligence.
- Excellent customer relations and networking skills.
- Excellent interpersonal and ability to operate on all levels of business.
- Proficiency in MS Office.
- Eye for detail
- Strong communication skills (verbal and written). Arabic is preferred.
